OTBOperational Transparency Board

Privacy Policy

Last updated: October 2026

The short version: the software collects nothing and sends nothing. Your outage data never leaves your network. The only personal information we hold is what you give us when you buy a license, and we keep that to deliver the license and support you.

1. The software itself

The Operational Transparency Board is self-hosted software. When you install and run it, all data it stores — outage records, maintenance windows, subscriber email addresses, user accounts and audit history — is written to your own server and stays there.

We have no ability to see, access or recover the data in your installation. That is the point of the product.

2. Information we collect when you buy

When you purchase a license, we receive and store:

We do not receive or store your card number or bank details. Payments are processed by our merchant of record, who handles payment card data directly under their own privacy policy. We see only the confirmation that a payment succeeded and the contact details above.

3. How we use it

We do not sell, rent or share your details with third parties for marketing. We do not run advertising on this site.

4. This website

This website is a set of static pages. It sets no cookies for tracking or advertising, and we run no analytics scripts. Our hosting provider may keep standard, short-lived access logs (IP address, time, page requested) for security and operational purposes, as essentially all web hosts do.

5. Email

Support and license email is sent from a transactional email provider. If you would prefer not to receive update announcements, you can opt out of those while still receiving license and support email — just reply and tell us.

6. Retention

We keep license and purchase records for as long as the license exists, plus whatever period our accounting obligations require. If you ask us to delete your details, we will remove everything we are not legally required to keep, and confirm in writing that we have done so.

7. Your rights

Depending on where you live you may have rights to access, correct, export or delete the personal information we hold about you, and to object to certain uses of it. To exercise any of these, email us. We will respond within 30 days.

8. Security

We hold a deliberately small amount of data — names, email addresses and license records — and protect it accordingly. Because your installation is entirely self-hosted, the security of your outage data is in your own hands and your own network controls, where it belongs.

9. Changes

If this policy changes materially we will update the date above and, where the change is significant, tell license holders by email.
